Meeting Room Terms & Conditions

  1. All meetings are to be booked in advance, via Quorum Guest Services. Early Booking is advised. Email reception@quorumpark.com.

  2. A booking is not confirmed until guest services has received your completed booking request form and you have received an email confirmation and calendar invite.

  3. Bookings can be cancelled without change when:

    a. A minimum of 24 hours’ notice is given, where the room is booked for a half-day or less.

    b. A minimum of 48 hours’ notice is given for meeting rooms booked for a full-day or more.

    NOTE: Cancellation fees may apply for any additional services provided via third parties or suppliers such as catering or additional AV requirements which have been booked and confirmed in advance.

  4. Any bookings cancelled with less notice will be charged at the full rate.

  5. At the end of the booking, the room should be vacated promptly. Should additional time be required, this will be subject to availability and an additional charge.

  6. The capacity indicated for each room should not be exceeded. Failure to adhere to this could result in cancellation of your booking.

  7. Tea, coffee, still water and biscuits are included in the cost of the booking. Catering can be ordered up to 48 hours in advance. All catering must be ordered through Guest Services.

  8. All invoices, costs or charges incurred whilst using the meeting rooms are to be issued in arrears by Shelborn Quorum Ltd.

  9. Wireless internet connection is provided for the benefit of users and their guests, it is subject to fair usage and should be used in accordance with all United Kingdom laws, statutes, and regulations.

  10. Meeting participants must not remove or damage any property, fixtures, or fittings within the meeting rooms. The Management reserves the right to claim costs and damages in full for any such removal, marking or damage caused. The use of blu-tak, tape, pins, or any form of adhesive to put things on the walls or tables in the meeting room is strictly forbidden.

  11. Smoking is only permitted in the dedicated smoking shelter at the north end of the building.

  12. Availability: Business hours are 8:30am – 17:00 Monday – Friday. These days and times can only be extended with prior arrangement.

  13. No animals are allowed in the meeting rooms except for guide dogs.

  14. The Landlord, its representatives, sub-contractors, or suppliers shall not be liable for any damage, loss, or theft of any member or their guests’ personal belongings whilst on the premises.

  15. Our fees and charges may be subject to change without prior notice.

  16. The Landlord reserves the right to amend the Meeting Room terms & conditions at any time.
